ADMIN & OPERATIONS OFFICER

Position Overview

We are seeking a competent and detail-oriented Project Administration & Operations Officer to support our project management team. The ideal candidate will assist the Project Manager in providing efficient and cost-effective financial and administrative support services, ensuring compliance with internal processes, and managing project staff. This role requires strong organizational skills, a high level of accuracy, and the ability to collaborate with various stakeholders.

Key Responsibilities

  • Manage day-to-day administrative tasks for the project, including scheduling meetings, preparing documents, and maintaining records.
  • Coordinate communication between the project team and external stakeholders, ensuring accurate and timely information exchange.
  • Support the Project Manager in preparing reports, presentations, and other project-related documentation.
  • Support the invoicing process, ensuring accuracy and timely submission to the appropriate stakeholders.
  • Assist with financial audits and prepare necessary documents for review.
  • Oversee office operations, including managing supplies, equipment, and logistical needs.
  • Coordinate with project staff to ensure smooth project operations.
  • Support project risk assessments and help implement mitigation strategies.
  • Assist in managing project-related HR tasks, including onboarding new team members, coordinating training, and maintaining HR records.
  • Support performance management processes by tracking key metrics and providing relevant data to the Project Manager.
  • Ensure that all project operations comply with internal Standard Operating Procedures (SoPs) and contractual requirements.
  • Assist with quality assurance checks, identifying areas for improvement and implementing corrective actions.

Education:

  • Bachelors degree in Business Administration, Finance, Management, or a related field.

Experience:

  • At least 2 years of relevant experience in administration, finance, operations, or project management.
  • Prior experience in the development sector would be an asset.

Skills:

  • Strong organizational and multitasking skills, with a high degree of accuracy and attention to detail.
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively in a team and independently as needed.
  • Familiarity with financial processes and basic accounting principles.
  • Ability to identify issues and propose effective solutions.
  • This position may require occasional travel to project sites or partner locations.
